Email Lead Capture — Set Up Guide

Capture leads automatically from Bark, Checkatrade, MyBuilder, and other platforms via email forwarding.

What is Email Lead Capture?

Email lead capture turns lead notifications from platforms like Bark, Checkatrade, MyBuilder, and Rated People into leads in your A.X.E.L pipeline automatically. No copy-pasting, no manual data entry — just email forwarding and intelligent parsing.

How It Works (3 Steps)

  1. Generate your unique forwarding address in A.X.E.L
  2. Set up email forwarding from each lead platform to that address
  3. Leads get parsed and added to your pipeline automatically

Supported Platforms

A.X.E.L's email parser understands lead notifications from these platforms:

  • Bark — new lead notifications and customer enquiries
  • Checkatrade — enquiry alerts and lead details
  • MyBuilder — job notifications and customer messages
  • Rated People — lead notifications and enquiry details
  • Yell — directory enquiries and lead notifications
  • Any platform that sends structured lead emails

Generating Your Forwarding Address

  1. Go to Settings → Integrations → Email Lead Capture
  2. Tap Generate Forwarding Address
  3. A.X.E.L creates a unique email address: [email protected]
  4. Copy this address — you'll need it for setting up forwarding

What Gets Extracted

A.X.E.L's parser pulls out key information from lead emails:

  • Customer name — first and last name
  • Contact details — email address and phone number
  • Service required — job type and description
  • Location — postcode and area
  • Customer message — their enquiry details
  • Lead source — which platform it came from

Automatic Deduplication

If the same customer enquires through multiple platforms, A.X.E.L detects duplicates and:

  • Matches by phone number or email address
  • Updates the existing lead with new platform information
  • Adds notes showing which platforms the customer found you on
  • Prevents duplicate leads cluttering your pipeline

Activity Log

Every parsed email creates an activity entry showing:

  • When the email was received and processed
  • Which platform it came from
  • What information was extracted
  • Whether it created a new lead or updated an existing one

Access this via Settings → Integrations → Email Lead Capture → Activity Log

Plan Limits

Email lead capture limits by plan:

  • Starter: 100 emails per month
  • Pro: 250 emails per month
  • Business: 500 emails per month
  • Enterprise: 1,000 emails per month

Limits reset monthly. Upgrade if you consistently hit your limit.

Troubleshooting

Emails not being parsed:

  • Check the forwarding rule is set up correctly
  • Verify the platform's email format hasn't changed
  • Check the Activity Log for error messages
  • Contact support if a platform isn't being recognised

Duplicate leads being created:

  • Deduplication works on email and phone — ensure these are consistent across platforms
  • Manually merge duplicates if they slip through
  • Check your forwarding rules aren't sending the same email multiple times
